Meetings

Meetings is Takonaut’s built-in space for structured conversations — one-on-ones, team syncs, planning sessions, client calls, and more. Every meeting type shares the same architecture: a collaborative agenda, shared notes, a decisions log, action items, and optional AI assistance. No live calling or recording is involved; Meetings is about preparation, in-meeting capture, and follow-through.

Meeting types

Takonaut supports six meeting types, each with its own built-in template:

Standups and Retrospectives remain separate features and are not merged into Meetings.

One-off meetings vs. recurring series

One-off meetings stand alone — no series, no automatic next instance. Use these for ad-hoc calls or single events.

Recurring series repeat automatically on a configurable cadence:

When you create a series, Takonaut ensures the next upcoming instance always exists. After you complete a meeting, the next instance is automatically generated and undiscussed agenda items plus open action items are carried forward.

Creating a meeting

Navigate to Meetings in the sidebar (visible when the Meetings feature is enabled for your organization).

To create a one-off meeting:

  1. Click New Meeting.
  2. Select a meeting type and optionally choose a template.
  3. Set the title, date, time, and duration.
  4. Add participants from your organization’s member list.
  5. Optionally link the meeting to a project.

To start a recurring series:

  1. Click New Meeting and toggle Make this a series.
  2. Configure the cadence (weekly / biweekly / monthly), day of week, and time.
  3. Add participants — they will be seeded into every future instance automatically.

For 1-on-1 series, exactly two participants are required. The organizer is the manager.

Participants and visibility

Meetings in Takonaut are participants-only. Only the people invited to a meeting can view or edit it and its sub-entities (agenda items, notes, decisions, action items). Org admins do not have special read access — if they are not a participant, the meeting is not visible to them.

Templates

Every meeting type ships with a built-in template that pre-fills agenda items and a notes structure suited to that meeting type. For example:

  • The 1-on-1 template includes conversation-starter prompts and sections for wins, blockers, and development goals.
  • The Planning template includes sections for sprint goal, capacity review, and backlog walkthrough.
  • The Kickoff template covers project overview, roles, timeline, and open questions.

When you create a meeting, you can select any built-in template or skip templating for a blank slate. Organizations can also create custom templates that appear alongside the built-ins for all members.

Creating a custom template

  1. Go to Meetings and open the Templates panel.
  2. Click New Template, select the meeting type it applies to, and give it a name.
  3. Add agenda item titles and an optional notes structure.
  4. Save. The template is now available to everyone in your organization when creating a meeting of that type.

Custom templates can be edited or deleted by members with the appropriate admin permissions.

Linking meetings to projects

Any meeting (or series) can be optionally linked to a project. The link surfaces the meeting in the project context and is used by the AI talking-points feature, which draws on the linked project’s task and sprint activity to suggest relevant discussion topics.

The Meetings section has three main views:
